Back Office User Permissions (Video)

To access Permissions you will need to click on tools and access the back office users list through users. Important : Back office users can be blocked and unblocked directly from the users list by right clicking on the selected user line. To access the user you can either click on the user ID or the user’s name.
The Edit user tab allows you to edit or update the user information. It is important to take note of the IP. This is the IP where the user will be allowed to access the back office from. You can have more than 1 IP address by inserting a comma between the IP’s and you can have no IP Restriction by using a * as the IP Value.
The filter By tab allows you to set client visibility parameters. These are location, language, subgroup and affiliate token. Lets say that you want the back office user to see all clients from Austria, Cyprus and France , who speak English, from the Euro-English group. You can also add specific affiliate tokens if you want the back office user to have access to clients from those affiliates only. Subgroups are used in a practical manner for specific desks such as Retentions or Sales-English desk.
The password tab allows you to change the back office user password. The minimum length for the field is 8 characters.
“Sites” allows you to restrict site visibility if you have more than one site on our back office.
The permissions tab is where you will manage the permissions that the user has. You will notice that the structure of the permissions tree, is exactly the same as the Icon tree that you have on your user home screen. This allows you to easily identify permissions, with the specific area of the back office. access to clients from those affiliates only.
There is one addition to the tree in the permissions tab called stand alone. This refers to basic and background permissions that are separated from the generalized permissions group. Before setting the permissions you should always allow access to the Icon that contains the permission for example, if you would like to give the back office user permissions in the User icon then you should first give him basic access to the icon so that he can view it.
You can search for specific permissions by typing the permission in the text box. Once you have the permission that you want you can allow it or disable it by right clicking on the allowed tab. If you would like to refine your search then you can also add the action type related to the permission that you are searching for.
When changing a permission that needs additional permissions or affects other permissions you will have a notification in the pop up, warning you that there are prerequisites and affects to other permissions. If you click on the warning then it will open a window with a list of all of the prerequisites or affects for the permission.
We suggest that you create a test user to practice with. It is important to change the groups, subgroups and permissions, to see the exact effect it has on a back office user.
